Receipts by Text: Capture Without the Chase

Late receipts are not a compliance problem. They are a friction problem, and friction is fixable.

Every finance team has a receipt chasing ritual. The month ends, the statement arrives, and someone starts sending reminders: please submit your receipts, please complete your expense report, please respond to my last three emails. The chase consumes finance time, annoys employees, and still ends with a stack of missing receipts every cycle.

The standard diagnosis is that employees are careless. The more accurate diagnosis is that submission is inconvenient. An employee who just paid for a client lunch has the receipt in hand for about thirty seconds. If capturing it requires finding an app, logging in, creating a report, and filling out a form, the receipt goes in a pocket and the moment passes. Multiply by every purchase and the chase becomes structural.

The fix is not stricter policy. It is making submission so easy that it happens in the thirty second window.

Meeting Employees Where They Are

Finofo accepts receipts through whichever path is nearest to the employee at the moment of purchase: a photo by text, a forward by email, or an upload in the app.

The text message path matters most. Nobody needs to install anything, learn anything, or log into anything to text a photo. The behavior already exists; the receipt just becomes one more photo sent. For employees who live in their inbox, forwarding an emailed receipt works the same way. The upload path covers everything else.

When submission takes less effort than putting the receipt in a pocket, the receipt gets submitted.

What Happens After the Photo

A photo of a till receipt is enough. The model reads it, fills the expense fields, and shows which values it took from the image.

Extraction does the data entry

Merchant, date, amount, and category are read from the image. Tax rate is captured per line. Line items are extracted where the receipt has them. The employee is not transcribing a receipt into a form; they are confirming what the system already filled in.

The messy cases are handled

Real receipts are not clean. Tips get added after the printed total. Purchases get split across projects or between personal and business. Foreign currency receipts need conversion. Finofo handles splits including tips and partial allocations, converts foreign currency at the day's rate keeping both amounts, and flags variances before the expense moves on.

Confirmation, not creation

For most expenses, the employee's entire job is to glance at what was extracted and confirm it. The expense is already coded to category, project, and department by the time they see it. That is the difference between a two minute task and a ten second one, and it is why submission actually happens.

What This Does to the Chase

When receipts arrive at the moment of purchase instead of at month end, the downstream process changes shape. Card charges match against receipts that already exist rather than waiting for them. Statement reconciliation starts from mostly matched rather than mostly missing. The finance reminder ritual shrinks to the genuine exceptions.

The employees notice too. Expense reporting stops being a dreaded monthly assembly job and becomes something that already happened, one text at a time, throughout the month.
