Most finance teams have never asked their AP vendor this directly. It is worth asking before a customer or auditor asks you.


Most finance teams can tell you what their AP platform does. Fewer can tell you where it actually runs, in what country the servers sit, who has operational access to the data, and what happens to backups. This is not usually negligence. Data residency is not a question finance teams have historically needed to ask, so it has not been part of the standard vendor evaluation checklist.

That is changing, largely because customers, auditors, and procurement partners are starting to ask the finance team the same question the finance team never asked its own AP vendor. Where is data hosted at rest

The physical or cloud region where the underlying database and document storage live. This is the most basic question and the one most vendor security pages will answer directly, though the answer is sometimes buried a few clicks deep.

Where is data processed

Some platforms host storage in one region but run processing, including AI extraction, matching, or analytics, through infrastructure in a different region. The processing location matters as much as the storage location for most residency requirements.

What subprocessors are involved

Most AP platforms rely on third party services for parts of their stack, cloud infrastructure providers, AI model providers, payment rails. Each subprocessor is a link in the chain that a full residency answer needs to account for.

Where does support access come from

Customer support and engineering staff who can access account data for troubleshooting purposes. Their location matters for a complete data access picture, even if the underlying storage is well documented.

What happens to backups

Backup and disaster recovery copies of data are sometimes stored in a different region than primary storage, for redundancy. A residency answer that only covers primary storage is incomplete.

AP platforms are typically selected on functionality, cost, and integration fit. Data residency is rarely part of the original evaluation criteria, particularly for companies that adopted their current platform before residency became a live customer or procurement concern.
