Non-PO invoices skip the purchase order match, but still need a vendor, header details, complete GL coding and approval.
Set a vendor that never uses POs to Invoice Only, or mark a one-off bill as a non-PO invoice in its Approvals checklist.
An Invoice Only vendor's invoices are processed without matching to other documents. For any other vendor, the Purchase order linked step asks you to "Link a closed purchase order, or mark this invoice as a non-PO invoice." Once marked, the step reads Marked as a non-PO invoice.
A non-PO invoice's checklist is Vendor assigned, Invoice number, Invoice date, Due date, GL coding complete and Marked as a non-PO invoice. Approval policies route it like any other invoice, and their conditions (Total amount, Vendor, Label, Currency, Due in days and GL coding) can send non-PO bills to a different group.
1. Open Vendors and select the vendor.
2. On the Profile tab, find Matching Mode.
3. Choose Invoice Only. The vendor's mode overrides the organization default.
4. For a new vendor, choose the mode on the Add a vendor page, which offers three matching modes: 3-Way Matching, 2-Way Matching and Invoice Only.
1. Open the invoice from Documents > Invoices > In Progress.
2. Complete the vendor, header fields and GL coding on every line.
3. In the Approvals checklist, select the Purchase order linked step.
4. Mark the invoice as a non-PO invoice. The step now reads Marked as a non-PO invoice.
5. When every step is complete, click Submit for approval.
